CONVERTING FAMILY FOLDER OR NOTEBOOK SYSTEMS


Converting your folder or notebook system to accommodate the electronic filing system that we are working toward can be very simple.

Just make up an identifyer for each folder or notebook - something simple. Full names can be cumbersome so use the first few letters of the surname. If you happen to have five or six "Smith" folders make them SMI-A, SMI-B, etc. Try not to use numbers in these primary identifyers. Remember the KISS pricipal and keep it simple! And they must be unique.

Once all the folders and/or notebooks have been given a unique, primary ID go through and simply number each source. Note that if you have 10 or 20 pages photocopied from one book they will all have the same "source" number. A "source" can be one sheet or a whole book.

The goal is to have a unique identifyer for each "source" filed in such a way that retreaval is sure and simple. If your filing system is working for you KEEP IT!

If you are interfiling new material in your folders or notebook you are going to have a problem. The simplest thing to do is simply add all new material to the back of a folder/notebook or even simpler just start a new notebook for all new material.

If you feel you must keep interfiling new material the best work around is to use positional numbering.

  • Start with enough digits to handle all you sources in a folder/notebook - three should be enough. This means that the first source would be SMI-001 and them SMI-002, etc. Note that the SMI (Smith) is on the folder/notebook identifyer and does not appear on each source.
  • To add a source between SMI-001 and 002 just number it 0011 i.e. add a digit. If it makes you more confortable put a period in so that the added page looks like   001.1
