ELECTRONIC FILING BASICS


The electronic documentation filing system is exactly the same as that which has just been described for a paper system except that it is located on your computer instead of in binders on your shelf.

There are only a few minor changes needed:

  • The prefixes used in the paper system (remember the "R" for "Reference" or maybe you used "SMI" for your "Smith" notebook) need to be replaced with something that indicates that the reference is now in electronic format - we will use an "E" to be a reminder that it is a new electronic stored reference.
  • Instead of starting numbering with "R1" as we did in the paper system we will use a 4 digit number. The first number will therefore be "E1000". You can start with any 4 digit number you want - there is nothing magical about "E1000" other than it does assume that your paper references do not exceed 1000.
  • If you scan an existing reference keep the same ID except turn the number into 4 digits. For example of you scan reference "R24" the electronic copy would be "R0024" (see the reason for the 4 digit number). The paper copy would stay in the binder.
