ORGANIZING GENEALOGICAL DOCUMENTATION

ADDING COMPUTER FILES

When starting out, a new folder to hold your electronic documentation will be needed on your computer.

In keeping with the KISS principal, call it "Documentation" and put it with your other genealogy files:

Once the "Documentation" folder is set up "Reference" files can be added. In general they will fall into these types:

  • Images captured while using a library computer. Many libraries now provide access to Heritage Quest and/or the Library Edition of Ancestry.com for their patrons. If your library computers have USB ports, files from either of these services can be downloaded directly to a "Flash Drive" so there is no need to make a paper copy. When you save the image to your "Flash Drive" be sure that you name the file something that identifies the image. For example a census file might be titled "1850 US Census Lockport Twp, St Joseph Co, MI". (Obviously if you personally subscribe to these services you can download directly to your computer's "Documentation" folder.)
  • Books, or book excerpts, downloaded from Heritage Quest. Where you used to photocopy pages from books you can now use your library facilities to download those page you need from Heritage Quest to your "Flash Drive". These will be in Adobe format.
  • Scans from photocopies where you can't download a digital file. As time goes on these will be getting fewer and fewer.
  • Copies using a digital camera. Most of the newer digital cameras have image stabilization and with these cameras you make excellent copies. Be sure to make a copy of the title page to identify what you are copying or, if there is no title page, scribble a note as to what you are copying and take a picture of that. Once "camera copying" is started the number of "copies" made seems to rise rapidly. BTW - don't use the flash. Not only will it wash out your copy but may get you invited to leave the library.
  • Many local Family History Libraries now have the ability to "print" directly to a "Flash Drive". They may charge the same fee as for printing a paper copy. Once the image file is on the "Flash Drive" rename the file as you would any other documentation image.

OK now that your "Flash Drive" and camera are full of images it's time to move them to the "Documentation" folder? Click     NEXT
